What is happening?
Occuaptional Health are going through an upgrade of the software system that they use, currently Cohort V10 and moving to Cority Software Inc.
When is this happening?
We have started a 16 week transition programme that should see the new system going live on 19th November 2024.
How will this affect affect me?
If you are a manager and you refer staff members to Occupational Health, your login details will be transferred from Cohort (the existing software) over to Cority (the new system). Your username will remain the same however when you first log in to Cority, a password reset will be required. To do this, you will need to click on ‘Forgot Password’ to reset your password. The link to Cohort currently included in the Applications List on the intranet page will switch over to Cority in time for go live date of 19.11.24.
Your dashboard or landing page will look different but the process of referring an employee will remain the same. We will have video links and step by step guidance notes with pictures that can be shared (Click Here) with you when using the new system. You will be asked to complete the same information that you currently input into Cohort V10 and attach the same documents you are currently expected to upload before completing the declaration page and submitting the management referral into the system. The way Occupational Health communicates with you will remain the same i.e. via a response to your dashboard. The ‘comments’ function will remain an option but unfortunately you will no longer be able to upload additional documents via this section. If additional documents are required, these will need to be sent to our OH email address – loth.ohenquiries@nhs.scot
If you are a recruiter or part of a recruitment team using our electronic pre-placement questionnaires (PPQs), the username will remain the same but the password will need to be reset when first logging in after 19th November 2024. To do this, you will need to click on ‘Forgot Password’ to reset your password.
Your dashboard or landing page will look different. The process of creating and sending out a new PPQ link remains very similar and we will have video links and step by step guidance notes with pictures that can be shared with teams to support them with the new system (Click Here). You will still be required to attach a job description and a Recruitment Authorisation Form (RAF) prior to submitting the link to be sent to candidates. The questionnaires and their contents remain the same but the process to request a questionnaire will be slightly different. Please note that with Cority, the Fit Slips will be emailed to recruitment adviser by occupational health.
If you are a staff member needing to contact Occupational Health to report a Sharps/Contamination Incident, this process will remain the same for the time being. The link to the Cohort Sharps/Contamination Incident Form currently included in the Applications List on the intranet page will remain for accessing the form or you can continue to access the form by using the QR code on the Sharps or Contamination poster displayed within your clinical area.
If you are a staff member needing to engage with Occupational Health following exposure to a communicable disease / or following an outbreak, you will be guided by your manager to access the relevant online questionnaire via the new My Cority portal. Your manager will receive a link to share with you, to allow you to complete the required documentation.
If you are a staff member needing to engage with Occupational Health due to a requirement of your role where you need to complete and submit health surveillance information, any changes to this process will be shared with you at the relevant time.
